Terms of Service
Last updated 9 October 2026
These terms are the agreement between I-Cost Ltd ("we", "us") and the business that signs up for iCost ("the customer", "you"). By creating an account or using iCost you agree to them on behalf of your business. iCost is for business use; it is not offered to consumers.
1. The service
iCost is an online platform for construction estimating, purchasing, timesheets, reporting and carbon assessment ("the service"). We may improve and change features over time; we will not materially reduce the core service during a paid period.
2. Accounts and users
- The person who signs up becomes the company administrator and can invite users. You are responsible for who you invite, for keeping sign-in details secret and for everything done under your account.
- Information you give us must be accurate. Tell us promptly if you suspect unauthorised access.
3. Free trial
New accounts may start with a free trial of 7 days. At the end of the trial access stops unless a paid subscription is started. Trial workspaces are deleted on the same schedule as cancelled ones (section 6).
4. Subscription, fees and payment
- Fees are charged per user, monthly or yearly, as shown on the Billing & Plan page when you subscribe. Payments are taken by our payment provider, Stripe.
- Subscriptions renew automatically for the same period until cancelled. Adding users increases the fee from that point.
- I-Cost Ltd is not registered for VAT, so no VAT is added to our prices.
- We may change prices with at least 30 days' notice; the new price applies from your next renewal.
- If a payment fails we may suspend access after reminding you.
5. Cancelling
You can cancel at any time from Billing & Plan. The subscription stays active until the end of the period already paid for. Fees already paid are not refunded, except where the law requires.
6. When a subscription or trial ends
When access ends, the company administrator can still download all the company's data from My Account. If the account is not reactivated, the workspace and its users are permanently deleted 90 days later. We keep billing records and the record of these terms for the periods the law requires (see the Privacy Notice).
7. Your data
- You own the data you put into iCost ("customer data"). You give us permission to host, copy and process it only to provide and support the service.
- Where customer data includes personal data, our Data Processing Addendum forms part of these terms. You are responsible for having a lawful basis for the personal data you add and for telling the people concerned.
- We may use anonymous, aggregated information about how the service is used (which cannot identify you or any person) to run and improve iCost.
8. Acceptable use
You must not: use iCost unlawfully or to store unlawful material; try to access other customers' data or bypass security; probe, scan or test the service's security except under our responsible disclosure rules; upload malware; overload the service; or resell or copy the service. We may suspend access that puts the service or other customers at risk.
9. Estimates, reports and carbon figures
iCost is a tool to support professional work. Estimates, purchase figures, reports and carbon results depend on the data, rates, factors and assumptions you enter and on industry data sources. They are not a substitute for professional judgement, and you are responsible for checking them before relying on them, including in tenders, contracts or compliance submissions.
10. Availability and support
We aim to keep iCost available at all times but do not guarantee uninterrupted service; planned maintenance is done at quiet times where possible. Support is available through the iCost Help Desk and info@i-cost.co.uk during UK business hours.
11. Intellectual property
We own iCost, its software, design and content (other than customer data). You receive a non-exclusive, non-transferable right to use it for your business during your subscription. Feedback you give us may be used freely to improve the service.
12. Confidentiality
Each party will keep the other's confidential information secret and use it only for this agreement, except where disclosure is required by law.
13. Liability
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
- Neither party is liable for loss of profit, revenue, business, contracts, goodwill, or for indirect or consequential loss.
- Otherwise, our total liability in any 12-month period is limited to the fees you paid us for the service in that period.
14. Suspension and termination
We may suspend or end your access if you seriously breach these terms (including non-payment) and do not fix it within 14 days of notice, or immediately where needed to protect the service or other customers. Either party may end the agreement by cancelling as in section 5.
15. Changes to these terms
We may update these terms. We will give at least 30 days' notice of material changes by email or in iCost; continuing to use iCost after that means you accept them.
16. General
- These terms, the Data Processing Addendum and any order form are the whole agreement between us about the service.
- Notices to us go to info@i-cost.co.uk; notices to you go to the company administrator's email address.
- Neither party is responsible for delays caused by events outside its reasonable control.
- If any part of these terms is unenforceable, the rest stays in force.
- These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
